Privacy Policy

AxisAgent LLC (“AxisAgent,” “we,” “us”) operates Axis, a private, invitation-only real-estate dashboard provided to real-estate brokerages and their authorized agents (the “Service”). This Privacy Policy explains what information we collect, how we use and protect it, and the choices available. It applies to the Service and does not cover any third-party website or service.

1. Information We Collect

• Account information — name, email, brokerage affiliation, role, and login credentials of authorized users.
• Client Data — listings, contacts, buyers, sellers, notes, and other content that an authorized user enters into or generates in the Service, which may include personal information about the brokerage’s own clients and prospects.
• MLS Data — listing and related data licensed from a Multiple Listing Service (“MLS”) under the applicable data-license agreement.
• Generated content — marketing images, video, and copy produced through the Service.
• Usage & technical data — log data, device and browser information, IP address, and similar analytics, including via cookies.

2. How We Use Information

We use information to operate, provide, and secure the Service; authenticate users and control access; generate content and analyses at the user’s direction; provide support; maintain and improve the Service; and comply with legal obligations. We do not sell personal information.

3. MLS Data

MLS Data is used only within the licensed brokerage’s instance of the Service, solely for that brokerage’s internal, authorized use, and strictly in accordance with the applicable MLS agreement. We do not publicly display, redistribute, resell, or syndicate MLS Data. It is refreshed from the MLS feed, any listing or media removed or expired in the feed is removed from the Service, and it is retained only while the data license is active.

4. AI Processing

The Service includes AI-assisted features (for example, search, market analysis, and content generation) that process data within the brokerage’s instance to deliver those features. We do not use MLS Data or a brokerage’s Client Data to train third-party or publicly available AI models. Certain features rely on third-party AI/model providers that process inputs solely to return a result to the Service, under confidentiality obligations.

5. How We Share Information

We share information only: (a) with service providers and subprocessors (for example, hosting, and AI/model and voice providers) that process it on our behalf to provide the Service, under confidentiality obligations; (b) when required by law, regulation, or valid legal process; and (c) in connection with a merger, acquisition, or sale of assets, subject to this Policy. We do not sell personal information.

6. Data Storage & Security

Each brokerage’s instance is hosted on a dedicated, access-controlled server, isolated from other brokerages’ instances. We use administrative, technical, and physical safeguards — including encryption in transit and at rest, access controls, and least-privilege practices — designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Data Retention & Deletion

We retain Account and Client Data for as long as the account is active and as needed to provide the Service or comply with legal obligations. Upon termination, we make Client Data available for export for a limited period and then delete it, except for copies retained in routine backups or as required by law. MLS Data is purged in accordance with Section 3 and the applicable MLS agreement.

8. Your Choices & Rights

The brokerage controls the Client Data it enters and may access, correct, export, or delete it through the Service or by contacting us. Individuals whose personal information a brokerage has entered should contact that brokerage, which controls that data; we will assist the brokerage in responding to such requests as required by law.

9. Cookies

We use cookies and similar technologies to keep users signed in, remember preferences, and understand usage. Users can control cookies through their browser settings, though some features may not function without them.

10. Children

The Service is a business tool intended for licensed real-estate professionals and is not directed to individuals under 18, and we do not knowingly collect their information.

11. Changes to This Policy

We may update this Policy from time to time. We will post the updated Policy with a revised “last updated” date, and material changes will be communicated through the Service.
